The 4-Week Season Kickoff Fundraiser Plan
The best time to fundraise is the first month of the season: rosters are set, excitement is highest, families are engaged, and nothing has gone wrong yet. This plan compresses the season's fundraising into four weeks so it's finished before the first big competition.
Week 1 — Set up
- Lock the goal with its 'why' (see the goal-setting post: work backward from the budget gap).
- Choose ONE campaign format — donation calendar, claim grid, or a straight goal page.
- Collect athlete rosters and get every athlete their own share link.
- Draft the three texts (launch, mid-campaign, last-call) and the parent-group announcement now, not during the campaign.
Week 2 — Launch
- Kick off at practice: explain the goal, the why, and the one job — every athlete sends their launch text to 10+ people this week.
- Coach posts the campaign to the parent group and school channels the same day.
- First leaderboard update at day 3: total raised + top three athletes.
Week 3 — The push
- Mid-campaign update to everyone: '62% of the way — here's what your gifts already covered.'
- Run the donation-day play (one concentrated day of follow-up texts) to non-responders.
- Ask your one or two most connected boosters to seed a match for the final week if you can — 'every dollar doubled through Friday.'
Week 4 — Close and thank
- Hard deadline, announced everywhere: the campaign ENDS Friday.
- Last-call texts go out Wednesday; 'X to go' updates daily.
- Close with a public celebration at practice or a home event, then send every donor a personal thank-you within 48 hours — athletes write their own.
- Coach logs what worked (best-performing texts, top donor sources) for next season. That log is worth thousands next year.
After week 4
Done. No candy boxes in the locker room in November, no spring panic-fundraiser. If a genuine need appears mid-season, run a small, specific ask for that one thing — your community will respond precisely because you didn't ask all year.
